Fulk Flow is a closed-beta SaaS operated by Fulk Shipping. We take your privacy seriously because we have to — the product holds your mailbox credentials and your contact book. This page describes plainly what we collect, what we don’t, and how to ask us to delete it.
1. What we collect
- Account data — your name, email, and any login identity passed in by our auth provider (Clerk).
- Mailbox credentials — when you connect an IMAP/SMTP inbox, we store host, port, username, and password (encrypted at rest) so the platform can read and send mail on your behalf.
- Email content — we fetch messages from your connected inbox, classify them, and store the structured extractions (cargoes, vessel positions). Raw email bodies are kept for 90 days then dropped — only the structured data remains.
- Contacts — names, email addresses, company, role, and engagement signals (sends, opens, bounces) for the people you circulate to.
- Cargo evaluations + freight indications — your pasted cargoes and the AI-generated evaluations, kept so you can review history and so the platform improves.
- Operational logs — request timing, error traces, IP addresses for abuse prevention. Kept 30 days.
2. What we don’t collect
- No financial / payment data. The closed beta is free; we don’t hold cards.
- No tracking pixels on this marketing site. No Google Analytics, no Facebook Pixel, no third-party ad tags.
- No selling of your contact list — under any circumstances, ever.
3. Who sees your data
Your data lives in your own tenant inside our database. Other Fulk Flow users cannot see it. The only sub-processors that touch your data are:
- Vercel — application hosting + edge requests.
- Neon — Postgres database (EU region).
- Clerk — authentication.
- Anthropic and Groq — AI providers for classification, evaluation, and freight indication. Prompts are sent at request time and are not retained for training under our API terms.
- Equasis — vessel lookups use your own Equasis credentials if you choose to add them; we don’t share them with anyone else.
- Your own SMTP server — outgoing mail is sent directly through your provider, never proxied through us.
4. Where data is stored
Application servers run on Vercel’s European edge. The primary database is hosted in Neon’s EU region. Backups remain inside the EU. We do not intentionally transfer data outside the EU other than transient API calls to AI providers (which may route through the United States).
5. Retention
- Raw email bodies: 90 days, then deleted.
- Structured cargo / vessel extractions: kept while your account is active.
- Cargo evaluations + feedback: kept while your account is active.
- Server logs: 30 days.
- On account deletion: all of the above are removed within 30 days, except where law requires retention.
6. Your rights
If you are based in the EU or UK, GDPR / UK GDPR apply. You can request: access to your data, correction, deletion, export, and restriction of processing. Email us at management@fulkship.com— we respond within 14 days.
7. Cookies
We use one cookie: the authentication session from Clerk. No marketing or analytics cookies are set on this site.
8. Children
Fulk Flow is a business product. It is not intended for and not knowingly marketed to anyone under 18.
9. Changes
We’ll update this page in place and bump the “Last updated” date when something material changes. For material changes we’ll also email all active accounts.
